Dakota State University is seeking a highly organized and detail-oriented Administrative Assistant I to provide day-to-day administrative and operational support for the DigForCE, SecureSD, and Project Boundary Fence programs. This position plays a critical role in supporting program leadership, coordinating documentation and approvals, tracking program activities, and ensuring accurate and timely communication across multiple stakeholders.
Note: This position is externally funded and is subject to continual funding.
Key Responsibilities - Provide day-to-day administrative and operational support for the DigForCE, SecureSD, and Project Boundary Fence programs and directors.
- Process travel requests and coordinate scheduling, meetings, and logistics across multiple internal and external stakeholders.
- Serve as the primary coordinator for document routing and approvals, including preparing, managing, and tracking materials through DocuSign and other electronic signature platforms.
- Track project status and maintain accurate documentation, including email confirmations, agreements, MOUs, quotes, work orders, invoices, and payment records.
- Monitor contracts, invoices, and program documentation with a high level of accuracy and attention to detail.
- Maintain up-to-date records within program management and tracking systems to support workflows, timelines, and deliverables.
- Communicate effectively with internal teams, vendors, and local government entities to support program operations.
- Manage data and reporting using Microsoft Office tools and the MS Model Driven Power App system.
- Assist with the development, tracking, and reporting of key performance indicators (KPIs) to support program performance, accountability, and overall effectiveness.
- Support problem-solving and process improvement efforts related to administrative coordination and documentation management.
Knowledge, Skills, and Abilities
- Strong organizational and project coordination skills, with the ability to manage multiple priorities and deadlines simultaneously.
- High level of attention to detail.
- Effective written and verbal communication skills, with the ability to work collaboratively across multiple stakeholders.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Strong problem-solving skills and the ability to work independently while effectively supporting a team environment.
- Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
- Experience working with IT, cybersecurity, or technical teams is beneficial but not required.
